Role Summary

We are seeking a reliable and organized Office Assistant to support our daily operations. This position involves invoicing, order processing, scheduling, answering calls, and general administrative duties to keep our office running smoothly.

Key Responsibilities
  • Prepare, review, and issue invoices accurately and on time.
  • Enter and process customer orders into the system.
  • Assist with scheduling and coordinating tasks or appointments.
  • Answer and direct phone calls in a professional manner.
  • Maintain organized files and records of invoices, payments, and customer information.
  • Provide general administrative support to accounting, operations, and management teams.
  • Communicate effectively with customers and colleagues to resolve discrepancies or provide updates.
Qualifications
  • Previous experience as an office assistant, administrative assistant, or in invoicing/order entry .
  • Bilingual (English/Spanish) is a plus.
  • Strong multi-tasking skills and ability to work in a fast-paced environment under pressure .
  • Proficiency with Microsoft Office basics (Word, Excel, Outlook, etc.).
  • Excellent communication, organizational, and problem-solving skills .
  • High school diploma or equivalent required.
